Streamline Your Workflow: The Tools I Use to Manage Multiple Clients

automation clients tools & software Nov 25, 2024

Managing multiple clients doesn’t have to feel like herding cats.

You know how it usually goes — one client’s emailing, another’s texting, someone else is DMing you, and you’re stuck drowning in sticky notes and missed deadlines.

It’s exhausting and, honestly, unsustainable.

Here’s the good news: with the right systems, you can tame that chaos, save your sanity, and deliver a killer client experience.

Let me break down the exact tools I use to manage my workload and how you can make them work for you.

1. Project Management: Keeping It All Organized

My go-to tool for project management is Asana. It’s like having a digital brain for all your client work.

Here’s how I use it:

  1. One master client project

  2. Templates for repeatable processes (like onboarding and offboarding)

  3. Automatic reminders for deadlines, milestones, and follow-ups

Pro Tip: If you’re still trying to keep all of this in your head, stop. Like, right now. Asana will save you hours and headaches.

2. Clear Communication Channels: The Right Message in the Right Place

Texting & emailing your clients is where your sanity goes to die.

Instead, I use Slack for quick messages and updates, and Google Drive for file sharing.

Here’s why:

  1. Slack cuts out the back-and-forth.

  2. Google Drive keeps every file in one place.

  3. Boundaries! No more mixing work and personal texts.

Pro Tip: Set the tone during onboarding so clients know exactly how to communicate with you.

3. Automations That Save Time and Headaches

Why waste time on tasks you can automate?

My favorite tools include:

  1. HoneyBook for onboarding workflows, payment reminders, and emailing

  2. Automations in Asana to assign tasks to myself and keep things moving

  3. Templates in both for FAQs or regular check-ins and updates

These tools make it easy to focus on what actually matters: delivering great results.

Managing clients doesn’t have to feel like chaos. Or like you're herding cats.

With tools like these, you can streamline your workflow, keep your clients happy, and run your business like the boss you are.
